Privacy policy

1. Data controller

Nicki Gifts, Werkenstraat 13, 8600 Diksmuide, Belgium, VAT BE 0802.395.876, is responsible for processing your personal data. You can reach us at info@nickigifts.com or +32 (0) 491 76 25 28.

2. What we process

  • Your name, email address and telephone number when you request a quote or contact us.
  • Your company name and VAT number for a business enquiry.
  • Your billing and delivery address when you place an order.
  • The content of your message and any files you send us, such as logos or designs.

3. Why we use it

We use your data solely to answer your enquiry, fulfil your order, invoice you and meet our statutory accounting obligations. The legal bases are performance of the contract, your consent in the case of a non-binding enquiry, and our legal obligations.

With your consent, we also use data about your visit to this website to improve the website (statistics) and to measure our advertising on Facebook and Instagram and make it more relevant (marketing). The only legal basis for this is your consent. You can read more about it in section 7.

4. No selling, no unsolicited marketing

We never sell or rent your data to third parties. We do not send newsletters or marketing without your explicit consent, and you can withdraw any consent at any time.

5. Who else sees your data

Your data is shared only with parties needed to complete your order or to run this website: our accountant, our hosting provider (Hostinger), the payment service that processes your payment (Mollie, and Klarna if you pay with it), our shipping service (Sendcloud) and the carrier delivering your parcel. These parties process your data solely on our instructions and are contractually bound to confidentiality.

Only if you consent do Google (Google Analytics) and Meta (Facebook and Instagram) also receive data about your visit. See section 7.

6. How long we keep it

Quote requests that do not lead to an order are kept for a maximum of two years. Data relating to an order and invoicing is kept for seven years, as Belgian accounting law requires. Design files are kept for as long as they remain useful for a repeat order, unless you ask us to delete them.

7. Cookies, statistics and advertising

Necessary cookies. Some cookies are needed for the web shop to work, for example to remember your basket, to keep checkout secure and to store your cookie choice. We do not ask for consent for these.

Statistics: Google Analytics (only with your consent). If you accept statistics, we use Google Analytics from Google Ireland Limited to see how visitors use the website: which pages are viewed, for how long, with what type of device and browser, and roughly which country or region the visit comes from. We use this data only to improve the website, not to follow you personally. Google Analytics sets the cookies _ga and _ga_… for this (up to 2 years). Google keeps this data for at most 14 months, after which it is deleted automatically. Without your consent, Google Analytics sets no cookies.

Advertising: Meta pixel (only with your consent). If you accept marketing, we use the Meta pixel and the Conversions API of Meta Platforms Ireland Limited, the company behind Facebook and Instagram. This lets us measure which ads lead to a visit or a purchase, and show our ads to people who are likely to be interested in our products. Meta then receives data such as the pages and products you view, what you add to your basket and, when you order, the amount and the products. When you order, we also send your email address, phone number, name, town and postcode, but only in encrypted (hashed) form, so that Meta can only match them to an existing Meta account. Meta sets the cookies _fbp and, if you arrive via an ad, _fbc for this (up to 90 days). We and Meta are jointly responsible for collecting and passing on this data; what Meta does with it afterwards is covered by Meta’s privacy policy. Without your consent we send nothing to Meta, not from our own server either.

Transfers outside the EU. Google and Meta may process data in the United States. Both companies participate in the EU-US Data Privacy Framework, which permits this transfer.

Fonts. The fonts of this website are hosted on our own server. No data is sent to Google or other parties for them.

Changing your choice. You choose which cookies you allow on your first visit. You can change or withdraw that choice at any time via Cookie settings at the bottom of every page, or via our cookie policy (in Dutch), which also lists every cookie.

8. Your rights

You have the right to access, correct or erase your data, to restrict processing, to object, and to receive your data in a readable format. Write to info@nickigifts.com and we will respond within thirty days. If you consented to statistics or marketing, you can withdraw that consent at any time via Cookie settings at the bottom of the page. This does not affect your use of the web shop.

9. Complaints

If you are unhappy with how we handle your data, you can complain to the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be.

10. Changes

We may update this privacy policy. The date at the top shows when it was last changed.
